confirmation emails immediately

You should send confirmation emails for orders as soon as the order is received, then ANOTHER when the order ships.  This is just standard practice for every business on the internet....
 
Let's clarify a bit of your request.  Do you want to know as soon as your email arrives in the sales mailbox?  If so, you might want to look at the delivery options in your email application.  You could set it to generate a read receipt or delivery receipt automatically. 

That's quite a bit of extra work for the sales reps to send out email confirmations just to let you know your email came in, particularly when an email confirmation goes out when an email/mail/fax order is released to production.  Do you want that confirmation too or could that be discontinued?

If an order is shipped via UPS, UPS does send out an email via their QuantumView program.  That much is already being done.

Please prove that *every* business on the internet does this.  That sounds like quite a bit of hyperbole.
 
Maybe every business doesn't do it, but whatever... Warmoth should.

I'm referring specifically to when I call an order in.  I list the order and then you read it back to me, but I'm left without any sort of written confirmation until it ships.

This helps put your request in better context.

There are more than a few customers that call orders in and don't write down what they ordered.  Then they call in a few days later to confirm what they ordered.  With all due respect, (and I do mean that) it baffles me why they wouldn't write down what they wanted before calling in or didn't take notes during the call.  If I'm going to drop a wad of cash on an order, I'm documenting every aspect of the order and triple checking it during the order.  If anything seems amiss, I'm not getting off the phone until I know the order is what I want.

I do hear what you're saying though.  The new website is on its way and will include email notification from phone orders.  We just hit another milestone today so it is getting closer.

That's just usually just common sense to know what you're ordering ,though, some people just aren't concentrating and get to excited. Thats when things go wrong.
 
And some people like me can get nervous twice for trying to speak and understand in english on a phone AND doing an order :toothy12:
(but I did it reasonably well this week, although wasn't an order... international calls are not pocket-friendly)
 
You can set rules in Outlook or in your shared inbox to send auto replies as soon as the message has been received.. simple email with a confirmation of receipt and some kind of estimated response time.

I have been the manager of an (inside) sales team for a large software company for a long time, so I had to deal with this kind of issues all the time.

btw, I banned phoned in orders after getting too many issues.. only causes confusion and nasty customer sat credits... customer is always right, but they also lie all the time!

It would be nice if Warmoth was handling the USPS orders. After 6-8 weeks waiting, an email that the order has been shipped is good for the customer. If he knows that he will be notified by you, he will stop calling or e-mailing every two days to learn about his order. Just because USPS does not contact their customers does not mean you can't do it. It's equal rights for all Warmoth customers.
